11 of February, 2025

An employee welcome manual is a document used during the onboarding process of new employees to the organization. Its purpose is to inform about important matters concerning the company, its goals, its operations, its business culture, among others. Currently, this type of document can be created with the help of human resources software.

In this case, we can use Sesame as an example, a human resources program designed with a very intuitive interface. Sesame was created with the optimization of human resources department management in mind. Among its many functionalities, we can find the creation of reports, the planning of employee holidays and absences, the onboarding manual for companies, among others. Continue reading to learn much more about this last point.

What is a company welcome manual?

As we already mentioned, it is a business document used in the induction or incorporation process of new employees. Its mission is to inform these employees about all the important guidelines of the company. To mention some examples: business objectives, operation, business culture, among others.

It is worth noting that it is not some new tool, but it is true that it plays a very important role. And this is because it is the first show of affection, respect, and admiration that can be felt towards a new worker.

We have all gone through those nerves that arise in the first days of work in a new company. You can be the person with the best profile for the vacancy, but the fear of not doing it right, of knowing how the company works, among other things, will always mark the beginnings of a new work adventure.

What should an industrial induction process contain?

The company welcome manual, made to try to calm the nerves of the new employees, should contain the following points:

  • History and reason for existence of the company.
  • Values and business philosophy.
  • The obligations and rights of the worker, as well as vacations, schedules, salaries, among others.
  • Specify the worker’s position. As well as the tasks to perform and the goals to meet. Although this last point is treated in a general way, as it tends to change every year in the company.

These are the most basic points that, depending on the type of company, will take up more or less space. Others can also be added as long as the organization considers relevant to include.

Benefits it provides as an internal communication tool

In addition to fulfilling its main objective, which is to decrease insecurities in the first days, developing a welcome manual provides the following benefits:

  • For the employee: it helps him know what tasks are expected to be accomplished and what goals to achieve. Provides information about the company’s ideal client. Helps to work more focused and therefore, is more productive. It also allows him to clear the most basic doubts from his first day at work.
  • For the company: it allows expressing and explaining from the outset, in a clear way, the most basic aspects of the organization. A labor climate is created more favorably, where everyone knows what their tasks are and who to turn to in case of a need. The performance of the new worker will be much greater from the first day, as they will not have to depend on others to do their job.

How to make a company welcome manual?

When making this manual, it is important to choose well who will be the person responsible for drafting it. In large corporations, these documents are often very institutional. This does not always help to understand it easily and sometimes, they do not accurately reflect the daily reality of the various departments of a company.

Now, taking into account the person drafting the manual, proceed to gather the main responsible of your team and answer these questions. The answers will be part of what should appear in the induction manual:

  1. What is the history of our company and what has brought us to the present moment?
  2. What are our values?
  3. Workdays, schedules, holidays, sick leave, or leaves of absence.
  4. Salaries.
  5. How many departments are there in the company and how many people work there?
  6. Internal telephone numbers.
  7. Communication channels in the company, both internal and external.
  8. Tasks and objectives of the vacancy that the new company employee will fill.
  9. Company special days and usual customs. (For example, birthdays, coffee breaks, the company dinner, etc.)
  10. Types of clothing, in case it is necessary.

These are the most common points in a company. As expected, this manual should be well written and organized to then deliver it in paper or digital format.

To facilitate the process and make it much easier and faster, you can count on Sesame. A special human resources software that will allow you to design your onboarding process and share it with your new employees. In this way, your organization can perform a completely digital work and have its welcome manual ready.
