The hiring process of a company is one of the fundamental tasks for any type of organization and one of the most complicated for the HR department. Choosing the right person for a position is not easy and requires a good eye.

For this reason, more and more companies are using various software programs for personnel selection, such as the software developed by Sesame HR which incorporates specific functionalities for recruitment. With this, you will be able to automate the procedure and attract the talent your company needs.

To facilitate it, we bring you the steps to follow for the personnel hiring process in a company.

What is the hiring process of a company?

The term hiring process of a company is used to talk about a method structured in several phases with which to find, evaluate and hire the employees a company needs.

They are a series of interactions that are generated between a company and its applicants who aspire to occupy a position, going through the process of personnel recruitment and the execution of the contract.

Generally, this procedure can involve other departments, in addition to Human Resources. This usually follows a series of steps to hire a new team member, so it is interesting to standardize the steps and prepare this process in advance.

Tips for managing a personnel hiring process

It is not easy to carry out a good personnel hiring process for a company, so it is normal to have doubts about the different points of the process. Some tips for achieving the best results are:

  • Carry out each phase with seriousness and respect.
  • The process must be supported by the requirements of the legislation of each country.
  • It must be executed responsibly.
  • Try to be objective and not be carried away by first impressions.
  • Make a good selection before the interview.
  • Allow the candidate to express themselves by listening carefully to everything they say.
  • Think well about the decision without forgetting intuition.
  • Have computer software that facilitates the selection process.

How is the hiring process of a company?

Each company will apply its own stages of the hiring process of a company, although once you know what it is, you can document and standardize each step. From Sesame HR we propose some predefined phases that can be very useful.

Identifying the company’s needs

The first thing to be correctly defined is the vacancy, in which the abilities and skills required of the candidate should be included. For this, you must know for sure:

  • The mission to be performed.
  • The abilities and skills the candidate needs to perform the job.
  • In which area of the company or department will be worked on and with whom will have to coordinate.
  • The tasks to be performed.
  • The weekly working hours and the salary the worker will receive.

Candidate search

This step of the hiring process of a company can take different forms:

  • Internal recruitment: when people who already work in the company and who could perform the job are approached. The internal database is used.
  • External recruitment: People outside the company who might fit are sought, which will give the organization new ideas about the business and structuring. You can go to certain dissemination media like job boards or dedicated applications for this. In some cases, the selection is preferred with the emails that reach HR.

The offer must be attractive and catch the eye. If you need it, you can get guidance from the Public Employment Service (SEPE).

Preselection of candidates

The preselection of candidates is one of the most complicated and tedious parts of the process, as each application is different, there are many types of resumes.

When carrying it out, you have to select those that best adapt to the criteria required for the position, taking into account the soft and hard skills.

But, how to carry out the CV screening? It can be done in two different ways:

  • Manually: reviewing each and every application that arrives at the company. However, it is a laborious and complicated task, which can take up too much time.
  • Use of software: currently there are different software programs that help in the screening, speeding up and facilitating the procedure.

Conducting interviews and tests

This is one of the most important parts of the personnel hiring process for a company, as it will be key in choosing the perfect candidate for the offered position.

It is recommended that this task be undertaken by the head of the department where the candidate will be incorporated. To conduct a successful interview, we recommend following these steps:

  • Prepare a good battery of questions: even if not all of them are used, it is good to have them prepared in case you go blank.
  • Customizing the interview depending on each candidate: choosing the questions that we believe will give us more information.
  • Try to know if the candidate shares the values of the company: to avoid destabilizing the work environment.
  • You can conduct psychological tests or tests related to the offered position, to know the candidate’s abilities.

Selection and decision making

At this point in the hiring process of a company, ideally, the decision has been reduced to only two or three candidates. For making this important decision, the HR team might meet with the management and other colleagues who will work with the candidate.

Once the candidate has been chosen, both those who have been selected and those who have not are notified. Subsequently, the procedure should be formalized, presenting the selected person with the financial, professional offer and benefits.

At this stage, any type of negotiation can occur and will conclude with the signing of the contract. With it, the hiring process of a company ends.

Onboarding

Even though the hiring process of personnel for a company may have concluded, all necessary actions to integrate the new worker will also be part of it.

These are called company onboarding and in it the employee is explained everything they need to know about their new position. Although most companies work with an established onboarding, we advise adapting it to the needs of each position and person.

Pros and cons of having a hiring process

In the article we have talked about the steps to follow to carry out the hiring process of a company.

This procedure has multiple advantages, as it allows achieving better results and streamlining the hiring task, once the steps to follow are known and the process is established.

As at Sesame HR we know how difficult it can be to carry it out, we have a HR software with which to speed up tasks and carry it out.

However, to avoid the possible disadvantages of standardizing it, it is advisable to adapt the process to each position and situation to achieve the best results.

Once you know what the hiring process of a company is, all that remains is to put it into practice in your company to get the best personnel for your team. If you liked this article, we invite you to see more guides, templates and useful information in our resources section.
